This privacy policy explains how personal data may be processed when you use AITranslations, for what purposes, and what rights you have under the GDPR.

Scope

AITranslations is an invitation-only service for near real-time speech translation. Rooms can be used to stream audio, show text, and play translated audio to receivers. Depending on configuration, audio and/or text may be processed to provide these outputs.

Data categories and purposes

1) Access data / server logs

When you access the website, technical connection data may be processed (for example IP address, time of access, requested page, and user agent). This is used for operation, troubleshooting, and abuse prevention.

Legal basis: Art. 6(1)(f) GDPR (legitimate interest in secure and reliable operation).

2) Account and session data (authenticated area)

If you use the authenticated area (for example to manage rooms), account identifiers (such as username/email) and session-related data may be processed to provide login, maintain sessions, and enforce access control.

Legal basis: Art. 6(1)(b) GDPR (service provision) and Art. 6(1)(f) GDPR (security).

3) User-provided content (audio/video/text) for translation, conference, and post-processing

When translation, conference, or post-processing features are used, the service processes audio, video, and/or text provided in a room to provide live transmission, transcripts, translations, audio playback, LiveChat, summaries, or exports.

Legal basis: Art. 6(1)(b) GDPR.

4) Optional recordings

A room operator may enable recording. If enabled, audio segments can be stored on the server to support later playback and post-processing (for example transcripts or summaries). Whether recording is enabled depends on room settings and operator actions.

Third-party processing (AI/media providers)

AITranslations can be configured to use external providers for speech-to-text, translation, text-to-speech, real-time speech-to-speech interpretation, media transport, or post-processing (for example OpenAI, Google Gemini, Mistral, MediaVoice/Speaches, OpenAI-compatible endpoints, or LiveKit). In that case, audio, video, text, metadata, or derived content may be sent to the selected provider for processing and returned as results.

This also applies to LiveChat translations, where chat messages, display names, and language settings may be processed by the configured AI provider. Depending on the provider and configuration, processing may take place outside the EU/EEA.

Cookies and browser storage

Cookies

AITranslations may use cookies. These cookies are used for technical operation and security (for example session handling in the authenticated area, protection against abuse, and similar functions). No marketing or advertising cookies are used.

Legal basis: Where cookies are technically necessary, § 25(2) TTDSG applies. In addition, data processing is based on Art. 6(1)(b) GDPR (service provision) and/or Art. 6(1)(f) GDPR (security), depending on the context.

Local storage / session storage

The web app may store small pieces of information in your browser (localStorage or sessionStorage), for example recently used rooms, the selected language, a join token for password-protected rooms, LiveChat display names, or the local acknowledgement of LiveChat notices. This data remains in your browser and can be deleted through your browser settings.

Analytics and tracking

There is no advertising tracking. The service may use internal operational measurements (for example to monitor reliability and usage), but it does not embed third-party marketing analytics tools.

Retention

Data is kept for as long as needed for the purposes described above, and in some cases longer if required for operational or legal reasons. Retention can differ depending on the type of data (for example server logs, account/session data, optional recordings, and LiveChat data). LiveChat history is technically limited and pruned automatically by age and message count.

Your rights (GDPR)

You have the right of access (Art. 15), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), data portability (Art. 20), objection (Art. 21), and the right to lodge a complaint with a supervisory authority (Art. 77).
